Creating your own Meeting Agenda template in Whiteboard
With there being so many different styles of meetings for any one team, the template is a great starting point to reference and expand upon to fit your unique needs.
Topics
Color-code topics to be discussed in the Discussion topics region. Use the same or similar colors to define a seperate region for notes related to that topic.
Using lines and nested cards
As sub-tasks or topics develop, utilize Whiteboard's nesting cards to take notes and group items based under a subtopic. Use lines to connect ideas or conversation points that span across topic regions. You can even add a card directly on the line to fruther describe the relationship between the two ideas.
Documents and links
With a dedicated region already in the template, easily upload files or media to your Whiteboard for ease of reference for the entire meeting. You can also add links direcly to cards. Link to any external materials so attendees always know where to go when looking for a specific item.
Steps for a successful meeting
- Plan: Specify meeting type and details. Sent out an agenda or outline in advance of the meeting.
- Time Management: Allocate time for each agenda item and stick to the allotted time. If you run out of time, make a note to continue the conversation in the Follow-ups region.
- Leadership: Assign meeting leaders to guide the conversation, especially if there are multiple stakeholders.
- Discussion: Document talking points and goals so there is a shared understanding of what should come out of the meeting.
- Documentation: Assign a note taker to record minutes.
- Follow-Up: Assign tasks and next steps before the meeting ends. Send out meeting notes to all attendees as well as those who could not attend.
